Martucks Consulting LLC (“we,” “us,” or “our”) built RecordandInvoice with privacy as a foundational design principle, not an afterthought. This Privacy Policy explains what information we collect, why we collect it, how we protect it, and what happens to it over time.
Information We Collect
We collect two narrow categories of information. Everything else stays on your device.
1.1 Purchase and License Information
When you purchase RecordandInvoice, our payment processor, Stripe, handles your transaction and notifies us that a purchase was completed. From that notification we receive and store:
- Your email address, used to deliver your license key.
- Your license key, generated at the moment of purchase.
- The purchase amount and date.
- Your approximate country, derived from your connection at the time of purchase. We receive country-level data only; we do not receive your precise location, IP address, or city.
- The transaction identifier from Stripe, used to process refunds if you request one.
1.2 License Verification Data
To confirm that your license is valid, RecordandInvoice performs an automatic check approximately every 30 days when your device is online. This check transmits your license key to our license server, and your approximate country is derived from your connection at the time of the check. We record the verification timestamp and your approximate country alongside your license record. We do not receive or store your precise location, city, or IP address. If your device is offline when a check is due, the check is silently deferred and your work is never interrupted.
1.3 Support Communications
If you contact us by email for support, refund requests, or any other reason, we retain those communications in order to assist you and to maintain an accurate record of your account history. We do not use support communications for marketing purposes.
Information Stored on Your Device
RecordandInvoice stores the following data directly on your device using your browser’s local storage. This data is not transmitted to us and is not accessible to us.
2.1 Your Business Records
All invoices, clients, contracts, task orders, time entries, templates, and your company profile are stored in your browser’s local storage under keys beginning with the prefix sip_. This data never leaves your device under normal operation. We cannot access it, cannot retrieve it, and cannot be compelled to produce records we do not possess.
2.2 Deleted Records (Trash Buffer)
When you delete a record in RecordandInvoice, it is moved to a temporary trash buffer stored in your browser’s local storage. The buffer holds up to your last 50 deleted items and allows you to undo a deletion within 6 seconds. Deleted items remain in this buffer until they are replaced by newer deletions or until you clear your browser’s site data. The trash buffer is local to your device and is never transmitted to us.
2.3 Backup Folder Reference
If you choose to link a backup folder using the software’s one-click backup feature, the reference to that folder is stored in your browser’s IndexedDB database (named RecordandInvoiceBYOS) on your device. This reference never leaves your device; it is used solely to enable the software to save backup files directly to your chosen location.
2.4 Activation Token and License Status
After you activate your license, the software stores a signed activation token in your browser’s local storage. This token confirms that your license is valid so the software can function offline without contacting our server every time it opens. The token is refreshed during periodic license checks.
2.5 Application Preferences
User preferences such as dark mode setting, the date of your last backup, and your most recently used consultant name and billing rate are stored in your browser’s local storage. These preferences are used only to improve your experience within the app and are never transmitted to us.
Third-Party Services
RecordandInvoice works with a small number of third-party services. We have chosen each one carefully and limited the data each one receives to the minimum required for it to do its job.

How We Use Your Information
We use the limited information we collect for these purposes only:
- To deliver your license key after purchase.
- To verify that your license remains valid when the software performs its periodic check.
- To process refund requests within the 14 calendar day refund window.
- To revoke a license when a refund is processed, ensuring the software transitions to Read-Only Mode correctly.
- To respond to support inquiries you send to us directly.
- To maintain accurate business and tax records as required by law.
We do not use your information for marketing, profiling, behavioral analysis, or any purpose not listed above.
How Long We Keep Your Information
We retain your license record (email address, license key, purchase amount, purchase date, country, and verification timestamps) for seven years from the date of purchase. This retention period aligns with standard US business record-keeping requirements for tax purposes.
Support communications are retained for three years from the date of the most recent message in the conversation, after which they are deleted.
After the applicable retention period, your records are permanently deleted from our systems. No archival copies are retained.
Sharing Your Information
We do not sell your information. We do not rent it, trade it, or share it for advertising.
We share your information only in the following limited circumstances:
- With our third-party service providers listed in Section 3, to the extent necessary for each provider to perform its specific function.
- When required by law, such as in response to a valid court order, subpoena, or government request. We will notify you of any such request to the extent permitted by law.
- To protect the rights, property, or safety of RecordandInvoice, our customers, or others, where disclosure is reasonably necessary.
Your Rights and Choices
You have the following rights with respect to the information we hold about you:
Access
You may request a summary of the information we hold about your license at any time by contacting us at support@recordandinvoice.com. We will respond within 30 days.
Correction
If the email address or other information associated with your license is incorrect, contact us and we will correct it promptly.
Deletion
You may request deletion of your license record. We will honor deletion requests subject to our legal obligation to retain business records for the seven-year period described in Section 5. If deletion is requested within the retention period, we will suppress your record from active use while retaining the minimum information required by law.
Your Business Data
Your invoices, clients, time entries, and all other records you create in RecordandInvoice are stored on your device and in your own backup storage. You control them entirely. To export or delete your business data, use the software’s built-in export and delete functions. We have no access to assist with or override these actions.
Data Security
We take reasonable technical and organizational measures to protect the license information we store. Our license management system runs on Cloudflare’s infrastructure, which provides enterprise-grade security, encrypted data at rest, and encrypted data in transit.
Your business data, stored on your own device, is as secure as your device and browser. We strongly recommend:
- Keeping your browser and operating system up to date.
- Using the software’s built-in backup feature regularly to maintain copies of your business data in your own cloud storage or external drive.
- Keeping your license key in a secure location, such as a password manager.
No method of electronic storage or transmission is 100 percent secure. We cannot guarantee absolute security, but we are committed to protecting your information using current best practices.
Children’s Privacy
RecordandInvoice is a professional business software product intended for adults. We do not knowingly collect personal information from anyone under the age of 18. Our Terms of Use require all users to be at least 18 years old.
If you believe that a person under 18 has provided us with personal information, please contact us at support@recordandinvoice.com and we will delete that information promptly.
Geographic Scope
RecordandInvoice is currently sold and supported in the United States only. Our services, payment processing, and license management are configured for US customers. We do not accept purchases from outside the United States at this time.
This Privacy Policy is written to comply with applicable US privacy laws. If you are located outside the United States, please do not purchase or use RecordandInvoice at this time. We may expand to additional markets in the future, at which point this policy will be updated accordingly.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time as the software evolves or as legal requirements change. If we make a material change to how we collect or use your information, we will notify existing customers by email at least 30 days before the change takes effect.
The current version of this Privacy Policy will always be available at recordandinvoice.com. The “Last Updated” date at the top of this document reflects the most recent revision. Continued use of the software after a change takes effect constitutes acceptance of the updated policy.
